Members and roles
View accounts and roles, send or revoke invitations, change a member's role, and remove accounts. Available role permissions remain limited by currently enabled plan features.
Setup steps
Identify each person's tasks, create or select a role, grant the needed permissions, then invite the member and assign the role. Adjust access as responsibilities change.
Limits
Members act only within their business account and authorized features. A custom role cannot enable a feature absent from the plan. Invitees must complete the invitation process before using their access.
Define roles around real work
Begin with the work each person does: answering enquiries, reviewing bookings, checking orders, reading reports or configuring an account. A role is a reusable set of permissions, not a substitute for deciding who should handle a particular customer. Separate reading from creating, changing and exporting where those permissions exist. Someone who only checks report trends need not receive access to download data or edit team membership. Keep role names understandable to the people who will assign them.
An invitation is a step, not an active account
An administrator sends an invitation and chooses the member's role. The recipient must follow the invitation process before their access is ready. Check the member list and role after acceptance rather than assuming an email was received or completed. If someone changes jobs, review the role they hold and the tasks they still need. Revoke an unused invitation or remove a departing member through the account screen instead of leaving an old access path available. Review the member list regularly so every account still has a real task.
The plan still bounds each role
A custom role can grant only permissions the business's current plan and enabled features allow. Adding a permission name to a role does not activate a disabled channel, commerce feature or report. Staff should see the areas they can actually use, without a menu of unrelated higher-plan functions. Managing members and roles requires its own authorization; ordinary access to chat or reports does not automatically include it. When checking a permission change, use an account with the affected role and verify the relevant page and action.
Review access when people and duties change
Removing a member should be considered whenever a person leaves or no longer represents the business. A role change can alter access to records already in the account, so confirm the intended scope before assigning it. If a link in a notification leads to a page the member cannot open, check the member's role and plan entitlement rather than sharing another person's login. Team access controls which staff may operate inside a business account; it is not a public customer login or a cross-business identity feature.
Common questions
Can viewing and editing be separated?
Yes. Assign the permissions offered by each feature within the plan's limits.
Can an invitee sign in immediately?
They must complete the invitation process and receive an authorized role.
Can a custom role unlock a feature outside my plan?
No. Roles operate only within the features currently available to the business.
Is a sent invitation enough for access?
No. The recipient must complete the invitation process, then their assigned role determines access.
Should a report reader also receive export rights?
Only when their work requires a download; viewing and exporting can be assigned separately.
